What a stock register format must contain

  • Date — one line per item per day, not one line per movement
  • Item code and name — readable, under one naming authority, or the register forks into dialects
  • Opening balance — carried forward, never re-entered
  • Inward with its reference — purchase, return, transfer-in
  • Outward with its reference — order number, challan number, transfer-out
  • Closing balance — computed, never typed
  • Location — the rack — a register that knows quantities but not places sends people hunting
  • Remarks — the breakage, the sample given, the honest exits that otherwise surface later as discrepancies

The register's one law: closing = opening + inward − outward, balanced daily, per item. A register balanced weekly is a discrepancy diary; balanced daily, it is a control.

The Excel version computes the balances, carries closing to the next day's opening, and flags the line where the arithmetic breaks — which is exactly the line worth investigating.
