The customer who did not come back

Every enquiry arrives with a date on it. Ignoring a date is harder than forgetting one.

He has not said no

A customer took a quotation on Tuesday. You have not heard since.

He is deciding, and he is holding two other quotations while he does it.

Whoever is still in front of him in ten days will probably get the order — and it is not usually the cheapest one.

Most shops call once. A good many never call at all.

Not because anybody is careless. Because nothing in the shop can tell you who has not been called yet.

A name you cannot see is a name nobody rings.

Nothing to build, nothing to import

The pipeline falls out of work your team already did.

The follow-up funnel

Nothing is added by hand. Each one arrives from the moment it was recorded.

Forgetting is easy. Ignoring is harder.

The date is a field on the record, not a habit somebody has to build.

Every entry carries a next follow-up date and time. Filled in when the record was created.

Habits fail in the third busy week. You are not asking your team to build one.

Ignoring something is a decision. Forgetting is not. People do the first far less often.

Every call recorded, in order

So March can read what January said, without ringing the customer again.

Comments in a conversation view

Every call in order, with who made it and when.

Lead hotness, one to ten, with a colour

red at the cold end, green for the ones worth your own time this week. Your salesman sets it, because he had the conversation. Nothing is scored automatically.

The people around the sale

Architect, contractor, salesperson, other influencers — in fields rather than buried in a comment, so they can be counted later.

Activities you define yourself

A showroom visit. Drawings collected. Estimate submitted. Payment discussed.

A kitchen sale has steps a tile sale does not, and the software has no opinion about which you should use.

Messages go out on the days nobody calls

Configured once, in settings. Not written fresh each time.

At the follow-up date, a message can go to the customer automatically — on WhatsApp, by SMS, or by email.

These do not replace the call. They keep you present on the days nobody had time to pick up the phone.

The quiet days are the ones that get a message.
Illustrative view of the outgoing queue.

In a shop that is doing well, that is most days.

You find out by looking

Not by asking at the end of the week and being told it is under control.

Follow-up is done by the salesperson who created the entry, or by the follow-up admin — who is in the loop on everything.

Entries can be reassigned. Somebody goes on leave, somebody leaves for good, somebody has more than they can carry.

The customer does not go quiet because of it, and the history moves with the record.

You can see who has been contacted and who has not — by opening the module and looking.

Overdue, and who to call first

Twelve names that were due last week beat a pipeline of four hundred.

Anything whose date has passed shows separately.

That one view is the reason this module gets used. It takes thirty seconds to read.

Then, for deciding where the day actually goes, the list sorts three ways:

  • By lead hotness — the score your salesman gave it
  • By activities performed — how far the sale has actually travelled
  • By number of follow-ups made — how much effort has already gone in

A high hotness score. Several activities — a site visit, drawings collected, an estimate submitted. And one follow-up call against it.

That customer was serious, your team was working on it, and then it went quiet.

He is the most recoverable order in your pipeline, and there is no other way to find him.
