Estimate format with images, free in Excel, Word and PowerPoint

An estimate format with a product photo on every line — free in Excel, Word and PowerPoint, each with a worked showroom sample and a clean blank.

The files, first

Free, no forms: an estimate format with a product photo on every line, each file carrying a worked showroom sample and a clean blank.

Download first; why the picture matters follows.

An estimate line is a promise the customer has to imagine

Text alone asks him to picture it.

“Soft-close hinge, clip-on, 0° crank” means something exact to the person who wrote it. To the customer it is a few words and a price.

Put the photo beside it and the conversation changes. The customer checks the finish, the shape and the size before the order, not at delivery.

Many arguments in a showroom trade are not about price at all. They are about the thing that arrived not being the thing the customer pictured. A picture on the line is the cheapest way to close that gap.

What the format must contain

  • The letterhead area — with the GST number on it
  • Estimate number, date and validity — an estimate that does not say how long it holds becomes an argument later
  • The indicative line — “for budgeting, not a binding offer”: the sentence that makes it an estimate rather than a quotation
  • The bill-to block — customer, address and GSTIN
  • An image column — one square picture per line, beside the description it proves
  • Line items — description, HSN or SAC, quantity, unit, rate, discount, amount
  • The totals — CGST and SGST, or IGST, shown separately, and the amount in words
  • Terms and signature — payment, delivery and validity, then the name that stands behind it

Estimate format with images in Excel

The Excel version does the arithmetic: amounts, discounts, GST and the amount in words fill themselves. Change a picture with a right-click; copy one into a new row.

Best when the estimate will be revised.

Estimate format with images in Word

The Word version is for the estimate that travels as a document — letterhead, pictures and terms laid out to print, or to send as a PDF.

Estimate format with images in PowerPoint

The same estimate on a slide, for when you go through it with the customer on a screen across the counter — then save it as a PDF to send.

When it is not an estimate

When the price is firm and the scope is fixed, the document is a quotation, and it has its own page. When the work is measured at the site in square feet and changes as it goes, the construction estimate does.

A version for your trade, free

If your trade's version is missing, ask, and it arrives on your email and WhatsApp, free.

Where the format runs out

The file holds one estimate well.

The trouble starts when the same hinge goes into forty estimates and its photo is pasted forty times — and when the customer asks which version had the walnut laminate.

A product list that puts the right picture on every line by itself, and keeps every version of every estimate, is not a better file. It is a different instrument:

Take the files either way — and bring your product photos to a demo.
