Quotation format with product images, free in Word, Excel and PowerPoint

A quotation format with a product photo beside every line — free in Word, Excel and PowerPoint, saves to PDF, with a worked showroom sample and a clean blank.

The files, first

Free, no forms: a quotation format with a product photo beside every line, each file carrying a worked showroom sample and a clean blank. Every one saves to PDF.

Download first; why the picture sells follows.

A quotation with pictures is a quotation the customer can say yes to

Price is half the decision. The other half is being sure.

A customer comparing three quotations is comparing three lists of words. The one with pictures is the only one he does not have to imagine.

He sees the walnut laminate, the brushed handle, the drawer channel. He shows it to his family or his architect without calling you back to explain. The quotation does the explaining while you are not in the room.

And when the order arrives, the picture is the record of what was agreed.

What the format must contain

  • The letterhead area — with the GST number on it
  • Quotation number, date and “valid until” — a firm price with a date on it, the field that protects you when rates move
  • The bill-to block — customer, address and GSTIN
  • An image column — one square product photo per line, beside the description it proves
  • Line items — description, HSN or SAC, quantity, unit, rate, discount, amount
  • The totals — CGST and SGST, or IGST, shown separately, and the amount in words
  • Terms and signature — payment, delivery and validity, then the name that stands behind the price

Quotation format with product images in Word

The Word version prints true on your letterhead and saves to PDF in one step — for the quotation that goes out as a document.

Best for quotations sent as a PDF.

Quotation format with product images in Excel

The Excel version calculates: amounts, discounts, GST and the amount in words fill themselves. Change a photo with a right-click; copy one into a new row.

Best for long quotations and frequent revisions.

Quotation format with product images in PowerPoint

The same quotation on a slide, for going through it with the customer on a screen across the counter, then saving it as a PDF to send.

When it is not a quotation

When the figures are for budgeting and will change, the document is an estimate, and it has its own page. Furniture showrooms have a version with their own fields.

A version for your trade, free

If your trade's version is missing, ask, and it arrives on your email and WhatsApp, free.

Where the format runs out

The file makes one good quotation.

It does not make forty a week. Every new quotation means finding the photos again, pasting them line by line, and checking that the hinge in the picture is the hinge in the price.

A product list that brings its own picture to every line, and keeps every quotation you have sent, is not a better file. It is a different instrument:

Take the files either way — and bring your product photos to a demo.
