Quotation format: free downloads in Word and Excel
A quotation format with every field that matters — GST, images, terms — free in Word and Excel, sample and blank included. No forms, just the files.
The files, first
Every download on this page is free and ungated — no email, no sign-up.
Each file holds two versions: a filled sample showing a realistic trade quotation, and a clean blank ready for your letterhead.
Take them; the rest of the page explains what makes a quotation format work, for whoever wants the reasoning.
What a quotation format must contain
A letterhead area — your name, address, GST number, contact
A quotation number and date — because "the quote I sent you" is not a reference
The customer block — name, site or delivery address, contact
The line items — description in plain words, an image column where the trade sells by looks, quantity, unit, rate, amount
The totals — subtotal, GST shown separately at the correct rate, grand total in figures and words
The terms — validity date, payment terms, delivery expectation, and what the rate excludes
The signature area — which turns a price list into an offer
The two fields most formats miss are the image column and the validity date — the first sells, the second protects.
Quotation format in Word
The Word version suits letter-style quotations and jobs where the document travels as a page: the layout holds, the letterhead prints true, and the totals are typed.
Best for shorter quotations where presentation outranks arithmetic.
Quotation format in Excel
The Excel version calculates: quantities multiply rates, GST computes at the rate you set, and totals stand correct through every revision.
Best for line-heavy quotations and anyone quoting more than occasionally.
A designed version in Canva
For showrooms that want the quotation to look as considered as the products, the Canva version carries the same fields in a designed layout you can brand in minutes.
Quotation template or quotation format — the same file
Some search for a quotation template, some for a quote format; the files above answer both.
A template is a format with the thinking already done — and both words mean the same download here.
A format for your trade, built free
The trade versions — interior, electrical, furniture, tile and more — have their own pages with fields adjusted to each trade. Need one we have not built?

Where the format runs out
A format makes one good quotation.
It does not make forty a week — not with images without an hour of work each, not with revisions that keep their history, and never with a record of who was sent what and who went quiet.
That limit is not a flaw in the file; it is the edge of what files do. The other side of that edge:
Take the files above either way — and see the automatic version at a demo.
